Make your management system work in everyday practice.
You may be certified and still be dealing with repeated defects, unclear responsibilities and procedures people work around. We bring the management system closer to how the work needs to happen, so its requirements turn into instructions, decisions and checks that are worth following.
When the management system needs to work better.
These are reasons to examine how the work is organised, not assume that another reminder will solve it.
The documented process does not reflect the tools, information or conditions people have during the job.
Design responseReview the task with the people who do it and rewrite the relevant instructions around the work and its requirements.
A checklist is completed or a release approved after the decision it was meant to support.
Design responseAgree when the check happens, who can stop or release the work, and what evidence they need. Four questions to test an approval.
Findings are closed, but the record does not explain the conditions that allowed the problem to happen.
Design responseExamine the task, information, responsibilities and decisions behind the event, then identify changes to test.
An experienced colleague carries knowledge that is missing from the instructions and handovers.
Design responseMake that knowledge usable through clearer instructions, prompts, responsibilities and handovers.
Reports look healthy while teams raise concerns that are not reaching the people who can act.
Design responseAgree which signs of difficulty to monitor, who reviews them and when they need a response.
How we work.
Use your existing evidence and agreed observations to identify where responsibilities, instructions or checks are not supporting the work.
Work with process owners and users to revise the relevant procedures, decisions and checks while retaining the requirements that apply.
Trial the revised arrangements, record what needs adjustment, and prepare process owners to run and review them. Agree internal assurance and the transition plan with you.
What you receive.
The proposal confirms the outputs, boundaries and responsibilities for your engagement.
Scope, and what this is not.
In one engagement, 845 non-conformances in under three years were reviewed; more than half recorded no root cause. Over 100 procedures were re-drafted into one library. The engagement is in progress: these are analysis and design outputs, not reported improvements after implementation. Read the engagement example →
The questions clients ask first.
We plan the transition around your audit cycle and keep applicable requirements in view. Certification decisions remain with your certification body; no re-design or internal audit can guarantee the result.
Not necessarily. We first work with the tools you have. Where software cannot support a required check, we identify that limitation and agree a workable manual arrangement or a separate software change.
You need a sponsor who can make decisions, a coordinator and access to the people who run the relevant processes. Workshop time, observation and review responsibilities are agreed in the proposal.
Optional: the method behind the work
The method, for anyone who wants it.
One design tool is a gate: a check before work moves to a point where a mistake becomes difficult to reverse. It needs a clear trigger, an authorised decision-maker, evidence and an exception route. We consider where a firm check is justified and where people need room to adapt. Software is one possible support, not a prerequisite.
Built for the requirements that apply here.
Where your organisation holds ISO 9001, ISO 45001 or ISO 14001 certification, the transition is planned around the relevant requirements and audit cycle. The certification body retains its assessment role.
We agree which local health, safety and employment requirements apply to the scoped work, and how they should be reflected in responsibilities, procedures and records. Applicable obligations need to be checked for your organisation and location.
Use short instructions and visual support where helpful. Delivery is in English; translation and testing in other working languages are agreed with you and the people who will use them.
